Enterprise IT & Multi-Location

How an enterprise IT organisation manages visitors across multiple locations

An enterprise IT organisation rolled out Lobbipad across several of its locations, including sites without a permanent receptionist, to give visitors one simple check-in process wherever they arrive.

The challenge

For organisations with multiple offices, reception isn't always staffed at every location.

For this enterprise IT organisation, that meant visitor registration could not depend on someone being physically present at the front desk. Reception teams also carried administrative work related to welcoming visitors.

The setup

The organisation rolled out Lobbipad across several of its locations, including sites without a permanent receptionist. Every location uses the same check-in process.

At each location, visitors check themselves in. Once registration is completed, the appropriate host receives a notification automatically.

Day-to-day workflow

When a visitor arrives at one of the locations, they register themselves at the check-in point instead of waiting for a receptionist.

As soon as registration is completed, the host they came to see is notified automatically, so nobody at the front desk has to track that person down.

Because the process is the same at every site, visitors get the same experience whether or not reception is staffed that day.

Results

A scalable visitor registration process that works across multiple sites — including locations without a permanently staffed reception desk.

Visitors get a consistent experience across locations, while the administrative workload for reception teams is reduced.

The reviewer described Lobbipad as easy to set up and easy for visitors to use across the organisation's different locations, and rated it 5 out of 5.

“Easy setup and also easy to use for our visitors in our different locations.”
